Club Setup Guide
Create the club, let people join, give roles and choose the settings. For the owner and the directors.
Create the Club
PokerSjef runs in the browser at pokersjef.com, on a phone, a laptop or the television. There is nothing to install. Sign in with Google or Facebook. Your first sign-in makes your account.
- Open the club menu.
- Choose Create a Club.
- Type the club’s name.
- Press Create the Club. You are now its owner, and a director as well.
Until the club has its first event, the Events page shows the first steps in order. They are the settings, the members, the games, the ranking and the first event.

Let People Join: The Club Code, the Link and the Poster
People join a club with its code, its join link or the QR code on its poster.
Every club has a club code of four characters, such as K7P4. A player types it under Join a Club. The code, the join link and its QR code are in Club Settings, on the Club Information page, under Joining the Club.
- Copy the join link. Send it to the club’s group chat.
- Print Poster prints the QR code with the club code. Hang the poster where you play.
- If the code reached the wrong people, press New Code and Link. The old code, link and QR code stop working at once, also on the poster. The invite links of your events do not change.
The Floor and the directors also see the code at the top of the club menu, for example Club code K7P4.
Standard Join or Instant Join
Under Joining the Club in Club Settings, a director chooses how people join. With Standard Join, the club code and its link make a request that a director approves.
With Instant Join, the club has a link with a long secret. Anybody who opens it joins at once as a player. Share that link only with people you trust, for example in the club’s own chat.
New Link replaces it, so the old copies stop working. The club code always makes a request. Only directors see the instant join link.
In a chat, the instant join link and an event’s invite link show the club’s name and its logo, if it has one. A link with only the club code shows the PokerSjef picture.

Approve Members
A request to join waits on the Members page until a director answers it.
The club code and its link always send a request. The request waits at the top of the Members page until a director approves or refuses it. So it is safe to read the code aloud or to print it.
A person who opens the instant join link joins as a Player. When you approve a request, you choose the role, usually Player. To change the role later, open the person on the Members page with the pencil.
The Members page shows how many people are waiting. A walk-in who has no account gets a player record at the desk. When the walk-in joins the club later, merge the two records on the Members page. Then all their events stay under one name.
The owner can also remove a player record that has no account, for example a test name. Open the record with the pencil, then press Remove from the Club. The record goes off the club’s lists. The events that the player played keep the name. A record that never played is deleted in full, with every signup.

Club Settings: The Five Pages
The club menu opens Club Settings. It has five pages under the club’s name.
Club Information
The club’s name, the venues and how people join the club.
A venue has an address and a venue name. In Address, start to type the street address or the name of the place. Then choose it in Google’s list. The venue of an event then opens in Google Maps.
In Venue Name, type the name that the players see, for example Ola’s House for a home. A place with a name of its own on Google fills it in. Edit beside a venue changes both, with Google’s list for the address. You can also add a venue from the event forms.
At the bottom of the page, the owner can transfer the club to another director, or close it.
Branding
The club’s logo shows in the club menu beside the name. The background picture is a wide photo, shown dimmed behind the room clock.
A picture that you choose shows on the page first. Press Save the Changes to keep it.
Under them are the settings of the room clock. They set what it shows, the clock colour, the organiser line, the information strip and the sound of a new screen.
Every new event copies these settings. An event can change its own copy on its Overview tab.
Beside the settings is a small room clock with sample players. Choose a moment of the event above it, from before the start to the finish. Open Full Size shows it in a tab of its own.
Defaults
The defaults for new events: the time zone, the currency, the rake and fee, the starting stack, the breaks and the dealer type. Every new event copies them and keeps them.
Check the time zone and the currency before you create the first event. The check-in window applies to every event at once.
Under them are the chip sets: each set that the club plays with, each chip’s value, colour and edge spots, and the default set.
A new club starts with one set, Club chips: red 100, yellow 500, white 1,000, blue 5,000, orange 25,000 and brown 100,000. Change it to the chips of the club, or add more sets.
A new event starts with the default set. You can choose another set on its Edit page. The event keeps its own copy of the set until the event ends.
The quick event shows the chips that each player gets. The structure names the chips that colour up at each break. The room clock shows the chips still in play.
Templates
The club’s templates. Press Use It to start an event from a template. Press Edit to change the settings or the name of a template. Press Delete to remove a template. The events made from it keep their settings.
Audit Log
The club’s audit log: what accounts did to the club, not to one event. For example, a cancelled event, two merged player records or a changed role. You can search it and filter it, as you can an event’s audit log.
Sit & Go actions are in the Audit Log tab of Sit & Go.
Switch On Sit & Go
A director switches Sit & Go on for the club, and sets its stack, its structure, its speeds and its games.
- Open the club menu. Then open Club Settings.
- On the first page, switch on Sit & Go.
- Open Sit & Go. Then open the Settings tab.
- The switches are at the top of the page, under Joining, Opening and Alerts.
- The chip set, the starting stack and the structure are the same for every game. The structure is Balanced, Turbo, Slow Start or Casino, with the same steps as at an event. The chip set is the club’s default set until a director chooses another. Its smallest chip gives the first blinds.
- Each speed is how long a full table lasts, about. For example: Short 1 hour, Regular 1 hour 45 minutes, Long 2 hours 30 minutes. A level lasts 10 minutes or more, so the speed gives the number of levels. The blinds then increase evenly to the planned finish, and never more than double. One speed is the default. The page shows the levels of each speed.
- Choose the games that a list can be for. Choose a game by its name, then its limit: NL, PL or FL. The word usual marks the usual limit of the game. You can also add H.O.R.S.E., the 8-Game Mix and Dealer’s Choice. In Dealer’s Choice, each player can choose one game when the table starts, and each game plays for one orbit.
- Each game type has a table size. It is 7 for a mix, a stud game or a draw game, and 9 for the other games. You can change it.
- The usual lists are there, empty, each time that Sit & Go opens.
- Each game and each mix can have a league. Each Sit & Go of that game then counts in that league from its start. It always counts on the Sit & Go leaderboards too, and never in a season.
- Each single game has its own leaderboard. Every mixed Sit & Go counts on one leaderboard, Mixed.
- You cannot switch Sit & Go off while it is open for the day or a Sit & Go runs.
- If a Sit & Go ended with the wrong places, open the Results tab and press Edit Results on that Sit & Go. Give each player a place. Players with the same place share it. Then press Save the Results.

Games and Templates
The Games page lists the poker variants. A template keeps the settings of an event for the next one.
The Games page already lists the common poker variants. If your club plays a variant that is missing, add it.
A template saves the settings of an event, so that a new event can start from them. It holds the field, the money, late entry, the games, the levels, the breaks, the venue and the chip set.
To save one, type a name under Save as a Template at the end of the extended form. Then press Save the Template. To start an event from a template, choose Template on the New Event page. It shows when the club has a template.
The club’s templates are on the Templates page of Club Settings.
To change a template, press Edit on the Templates page. The extended form opens with the settings and the name of the template. Change them. Then press Save the Template. PokerSjef saves a new version of the template.
If you change the name, the template keeps its earlier versions under the new name, and the old name goes off the list. Two templates cannot have the same name.
An event keeps its own copy of the settings. A change to a template, or a delete, has no effect on the events made from it.
Transfer or Close the Club
Only the owner can transfer or close the club. Both are on one card at the bottom of the Club Information page in Club Settings.
Transfer the Club
The owner gives the club to another director. That director becomes the owner, and the old owner stays a director. Type the club’s name in full to confirm.
Close the Club
When the owner closes a club, the club no longer shows in any list. Nobody can create a new event in it. Its members and their roles go, and its events that are still to come are deleted. The finished events stay, unchanged, in the results and statistics of the players who played them, under the club’s name. A club with no finished event is deleted instead.
You cannot close a club while one of its events is running.

Roles
Owner, Director, Floor, Dealer and Player: who may do what.
The Five Roles
Every person in a club holds one of five roles: Owner, Director, Floor, Dealer or Player. Each role can do everything the roles below it can, and a little more. The roles are club-wide: they count at every event the club holds.
PokerSjef checks every right on the server. If a screen does not show a button, your role cannot do that action.
- Owner
- The person who started the club, or who received it from the previous owner. There is one owner, who is always a Director too. Only the owner deletes seasons and leagues, transfers or closes the club and removes somebody else from the club. Only the owner deletes a finalized event, or an event that another director created. Nobody can remove the owner’s Director role.
- Director
- A director runs the club, between events and during them. A director manages the events, the templates and the structures, the payouts and the prize payments, and the seasons and the leagues. A director also manages the club’s settings, the members and their roles, and makes corrections from the audit log. Most clubs have two or three directors. A club always keeps at least one.
- Floor
- The Floor runs the room during the event: the clock and hand-for-hand, the seating and the tables, and the final table. The Floor also runs the desk with its money: check-in with the buy-in, walk-ins, rebuys, add-ons and withdrawals. The Floor prints the join poster and undoes a bust-out made by mistake. Payouts, prize payments and the event’s settings stay with a director.
- Dealer
- A dealer works the tables. A dealer busts players out and records a counted chip stack. In a mixed-game event, a dealer moves the table to its next game. A dealer also presses Moved when a moved player sits down. During hand-for-hand, the dealer presses Hand Finished.
- Player
- A player plays in the club’s events. A player sees the club, its events and its standings, and signs up for an event or removes their own name from it. Everybody who joins a club is a Player at least.

What Each Role May Do
A tick means that the role may do it. The server checks each one.
A few things stay with a director, although the Floor runs the event:
- Approving a player after late entry is closed, with a reason.
- Recording a rebuy or an add-on past its limit, with a reason.
- Undoing a withdrawal, because the chips that the player returned are no longer in play.
- Resetting the clock to the start of the structure.
- Paying the prizes and reversing a prize payment.
A director deletes or cancels an event only if they created it, and only until it is finalized. The owner deletes any event. When the button is missing, the event page says why.
A Dealer Works One Table
A dealer works one table: their own table where the players deal, or the table they chose where there are dedicated dealers.
A Dealer works one table in an event. Where the players deal, a dealer who plays works the table of their own seat, and helps the player who deals there. A dealer without a seat there sees the tables as every player does. Where there are dedicated dealers, a dealer without a seat works the table they chose with Deal at This Table. A dealer who plays there does not deal. The Floor and the directors work every table. There is no dealer role for one event or one table: the audit log records who did what, and when.
Giving and Removing Roles
The owner and the directors give roles on the Members page.
- To give a role, open the person on the Members page with the pencil. Choose Player, Dealer, Floor or Director. The new role replaces the old one.
- The owner and every director give roles, up to Director, so a club never depends on one person.
- Nobody becomes Owner from the Members page, and nobody removes the owner’s Director role.
- Removing a role leaves the person a Player. Only the owner can remove somebody else from the club.
