Desk and Floor Guide

Approve players at the desk, seat and move players, and run the clock.

Run the Desk on the Day

The event’s Registration tab is the desk. The Floor and the directors work it, on a laptop or a phone.

A player signs up in advance and checks in from their phone on the day of the event. Then the desk approves the player.

Before the Doors Open

  • Use one phone or tablet for the desk. Sign in on it as a director or as the Floor.
  • Sign in on the screen of the room with an account of the club. Open the room clock there.
  • Each dealer who busts players out needs a phone.
  • Check that the pill at the top shows Live. If it shows Reconnecting, Offline or Delayed, the figures can be old. Wait for Live before you make a change.
  • Bring a phone that can share its internet connection, in case the internet of the venue stops.
  • Check-in opens one hour before the start, unless the club chose another time.

The Registration Tab, from Top to Bottom

Field
The figures: the players approved, signed up and waiting, the places left and the seats free.
Invite Players
The event’s invite link and QR code, at the top right beside Field. On a phone, it is under Field. Only directors see it.
Recently Seated
The last players seated, with their seats, to read out.
Registered Players
The players who signed up and wait for approval. The players who checked in come first. The pill at the top right shows whether late entry is open. Put the pointer on the pill, or press it, to see when late entry closes.
Add a Club Player
The players of the club who did not sign up for this event.
Add a Walk-In
The last card. Use it only for a new player who cannot make an account.

Approve a Player Who Signed Up

The desk takes the buy-in and gives the player a seat.

  1. Find the player under Registered Players. The players who checked in from their phone come first, marked Checked In.
  2. If the event has a buy-in, take the money.
  3. Press Seat. If the event has a buy-in, Seat also records the payment.
  4. Press Cash, Vipps or Card, to say how the player paid.
  5. Tell the player the table and the seat that the desk shows.

A player who checked in, on the desk. Then the three ways to pay.

You can also approve a player who did not check in.

Use the chair for Seat, the die for Random Seat, and D for Dealer. The person with a minus is Unregister.

Seat fills the tables in the usual order. Random Seat gives the player a free seat at a table with the fewest players. If more tables have the fewest players, the app chooses one of them at random. The app also chooses the seat at random. When the players deal, the app does not give Seat 1 if another seat is free. Use Random Seat when a player does not want the usual order.

After the start, Random Seat does not seat a player alone at an empty table while a table in play has a free seat.

When the players deal themselves, Dealer gives the player Seat 1, so that the player deals at that table.

The seat also shows under Recently Seated, and on the player’s phone.

Add a Club Player or a Walk-In

A player who did not sign up can still play. Choose the right card, so that each player has one record.

A Player of the Club

  1. Under Add a Club Player, find the name. Type a name to search.
  2. Press the name.
  3. Press Approve, Pay and Seat, or Sign Up Only to approve the player later.

A New Player

  1. Under Add a Walk-In, type the name.
  2. If two players have the same name, type a name that shows which player is which, for example with the first letter of the surname.
  3. Press Approve, Pay and Seat Now. In an event with no buy-in, the button is Approve and Seat Now.

Use Add a Walk-In only when a new player cannot make an account. It is the last card on the tab. A new player with a phone can open the event’s invite link and join with an account. A player of the club is under Add a Club Player, so that their results stay under one name.

Sign Up Only puts the name on the list. You approve the player later, when they pay.

A player without an account can still play. When the player joins the club later, a director merges the two records on the Members page.

If the field is full, or players are on the waiting list, the button is Add to the Waiting List. The new player joins the end of the waiting list, and the desk shows the place.

The Waiting List

When the field is full, or players already wait, a new signup joins the end of the waiting list.

  • A cancelled signup, or a no-show that the desk unregisters, gives its place to the first person on the waiting list.
  • If a director increases the expected players, the new places go to the players on the waiting list first, in their order.
  • A walk-in or a club player whom the desk adds while players wait joins the end of the waiting list. The desk shows the place.
  • A player who signed up before check-in opened always comes before a player added on the day of the event.
  • Players on the waiting list who checked in show under Waiting List, Checked In, in order.
  • If you approve one of them into a full field, PokerSjef asks first and raises the expected players. The question says how many players wait before that player.
  • After late entry closes, nobody can join the waiting list.

Unregister a No-Show, or Undo an Approval

The desk can correct a name that should not be in the event.

A Player Who Did Not Come

  1. Press Unregister on the player’s row under Registered Players.
  2. Press Unregister again to confirm.

The player goes back to the club list, under Add a Club Player. The first player on the waiting list gets the place.

The Wrong Player Was Approved

  1. Press Find a Player at the top of the page.
  2. Press the player’s name.
  3. Press Undo Approval.
  4. Type a reason.
  5. Press Undo Approval again to confirm.
  6. Give the money back to the player.
  7. Approve the right player.

Undo Approval frees the seat, reverses the buy-in and clears the check-in. It works only before a rebuy or an add-on.

Record a Rebuy or an Add-On

The desk records each rebuy and add-on with the money.

Press Find a Player at the top of any page of the event. It lists every player, with the seat and the money. Press a name to open that player’s actions.

A Rebuy after a Bust-Out

A player who busts out while rebuys are open waits at the top of the Seating tab, as deciding on a rebuy. The player keeps the seat.

  • If the player takes the rebuy, press Rebuy. Then press Cash, Vipps or Card.
  • If the player does not want it, press Declines, Eliminate. The bust-out is then final.
  • In the player’s window, Bust Out and Rebuy records the bust-out and the rebuy together.

An Add-On

Press Find a Player, then the player’s name, then Add-On. Then choose how the player paid.

Each player can take one add-on.

Give Up Stack and Rebuy

A player who is still in play can also give up their stack and rebuy. Press the player’s name, then Give Up Stack, Rebuy. Count the chips that the player returns. They are no longer in play.

Past the Limit

If a player used every rebuy or add-on that the event allows, a director can record one more, with a reason. The Floor sees why the desk refuses it.

  • Press the player’s name. Then press Rebuy Past the Limit, Add-On Past the Limit or Bust Out and Rebuy Past the Limit.
  • Type the reason. Then choose how the player paid. The audit log keeps the reason.
  • If the player is already out, press Unbust first.

The purchases still close with late entry, and a purchase that the event switched off stays off.

See Also: Withdraw a Player, and Undo a Bust-Out

Withdraw a Player, and Undo a Bust-Out

A withdrawal is not a bust-out. The chips that the player returns leave play.

Withdraw a Player

  1. Press the player’s name.
  2. Press Withdraw.
  3. Type the chips that the player returns.
  4. Press Next.
  5. Type a reason.
  6. Press Record the Withdrawal.

Only a director can undo a withdrawal, because the returned chips left play.

Undo a Bust-Out

  1. Find the player in the list of players who are out, at the bottom of the Seating tab.
  2. Press Unbust.
  3. Type a reason.
  4. Press Unbust again to confirm.

The player returns to play in the seat the player left. If somebody sits there now, the player gets another free seat. The bust-out stays in the history.

If a prize is paid for a place that the Unbust changes, reverse the payment first. After a shared win, press Undo the Shared Win on the Results tab first. If a deal stands, a director first presses Undo the Deal on the Payouts page.

A player who is deciding on a rebuy keeps the seat. For that player, Unbust is under More, in the card at the top of the Seating tab.

Open a Player’s Sheet

Each player has a sheet with their state, seat, last count, money and actions.

  1. Press Find a Player at the top of any page of the event. On a phone, it is the magnifier.
  2. Press the player’s name.
  3. The player’s sheet opens. It shows every action that your role can do.

You can also press a player’s name on the page of a table, or a taken seat on the Overview tab.

A dealer sees the actions of the table. The Floor and the directors also see the actions of the desk.

Seat, Move and Balance Players

The Seating tab has the tables and the players who are out. A player who decides on a rebuy waits at the top.

  • Arrivals fill the tables in number order from Table 1, and a new table opens when the others are full.
  • Before the event starts, Randomize Seats gives every seated player a random seat, with the tables balanced. When the players deal themselves, you can keep the dealer of each table in their seat. After the start, the button goes.
  • To move a player, press the player. Then press the new seat. If a player sits in that seat, the app asks if you want to swap the two players. On a computer, you can also drag the player.
  • Auto Balance Tables first says how many moves it will make. Then it chooses the players to move at random. This is a house rule. PokerSjef does not claim that it follows the official tournament rules.
  • Each player keeps the old seat until somebody presses Moved, between two hands. If nobody presses Moved within 2 minutes, PokerSjef counts the move as made.
  • The player’s phone shows where to go. The room clock lists each move until it is made.
  • Close a table from its own card as the field shrinks. Its players get move orders to free seats. The greyed table after the last one adds another.
  • You also set the games of the tables on the Seating tab. The bar above the tables sets every open table at once. The card of a table sets that table only.

Run the Clock

The Overview tab runs the clock. Every screen follows it.

  1. First, approve the players on the Registration tab. Each player gets a seat.
  2. On the Overview tab, press Start. The first start asks first, because after it you cannot cancel the event.
  • The Overview tab runs the clock: start, pause, next or previous level, the time left, and one minute more or less. The clock goes to the next level or break automatically.
  • Pause the Clock pauses every screen. Resume starts it again.
  • To set the exact time left, type it under Time Left, for example 12:30. Then press Set.
  • Under the clock, a bar fills while the level runs. A table shows each game that the tables play, with the amounts of this level and of the next level.
  • Beside the clock, or under it on a phone, the Overview tab shows the event at a glance. It shows how many players are still in, of all the players who entered, and the rebuys and add-ons. It shows the tables and the free seats, the chips in play, the average stack, the prize pool and whether late entry is open. Below that, each open table has one line, with its seats as numbered squares. Press a taken seat to open the sheet of that player.

Only a director can reset the clock to the start of the structure. If nobody is out yet, the event also goes back to Scheduled, as before the start. In a mixed-game event, each table then returns to the game that it started with. That is the first game, or the game that the Floor set before the start.

If a player is out, or a rebuy or an add-on is recorded, the event stays running. Late entry, rebuys and add-ons that closed stay closed.

Set Up the Room Clock on a Television

The room clock is for the big screen in the room. It shows the clock, the blinds, the seats and the payouts.

  1. Sign in on the television with an account that belongs to the club.
  2. Open the event.
  3. Press Room Clock by the name of the event.
  4. Press Fill the screen at the top right. The screen then stays awake.
  5. Tap the screen once for sound.
  • At the top right, a sun shows that the screen stays awake. A moon shows that the screen can go to sleep. Press the icon to ask the browser again.
  • During a break, the room clock and the table screen show BREAK in large letters on a blue band, in a blue frame.
  • Sound at the top right opens two switches. Chime rings a chime at each new level and a soft bell in the last minute. Voice says each new level, the table moves, the bubble and the final table, once each.
  • Before the start, the room clock shows Find Your Seat with every player’s table and seat. During the event, it lists the players who are out, with the points that each player scored today and their total. When a director publishes the payouts, the room clock shows them too. A director chooses what it shows, its colour and its sound on the Branding page of Club Settings.
  • Under the event name, the room clock shows the organiser and the venue. At the right of that row, it shows the date and the time now, in the time zone of the event. The time comes from the server, so it is correct even if the clock of the television is wrong.

Two events can share one screen, for example a main event and a mixed games event in one room. Press Split at the top right. Then choose an event of today. This event stays in the left half, and the event that you chose shows in the right half.

  • Tap each half once for sound. Each half has its own Sound menu, and this screen remembers the choice of each half.
  • In a half, Split has Show Only This Clock, which shows one room clock again. Show Another Event Here puts another event of today in that half.
  • Under Spoken Name, a half can get a short name for the voice, for example Main or Mixed. The voice says it before each announcement. Without it, the voice says the name of the event. When both halves speak at the same time, they speak one after the other.
  • One information strip shows at the bottom of the screen, for both events. Each line starts with the spoken name of its half. Without a spoken name, the line starts with the name of the event.
  • When an event ends, its half shows the winner and the top three for 3 minutes. Then the room clock of the other event fills the screen. Tap it once for sound.
  • Keep the screen awake and Fill the screen are in the right half. They work for the whole screen. A phone does not show Split.

A director can change the room clock of one event on its Overview tab.

The Same Clock on Every Screen

Every screen shows the clock that the server keeps.

The server keeps the time, and every screen shows the time left from it. So the television, the dealer’s phone and the director’s laptop agree to the second. They agree even when the clock of a device is wrong.

When the Clock Is Estimated

A screen with no link to the server says that its clock is estimated.

The screen has no link to the server now. It continues to count from what it last knew, and it says that its clock is estimated. Its buttons are grey until the link returns. Nothing that you press while the screen is offline goes to the server later.

Run Hand-for-Hand at the Bubble

At the bubble, every table plays one hand at a time, so that players who bust out on the same hand are tied.

Hand-for-hand is on the Overview tab, under the tables, while it can matter. That is while more than one table is left, and the paid places are at least as many as the seats at the final table. At the bubble, the Overview tab suggests hand-for-hand, if your club plays it. The bubble is the moment when one more bust-out puts everyone left in the money. Hand-for-hand cannot start until late entry is closed and the prize pool is final.

  1. Press Start Hand-for-Hand. The clock pauses and every table plays one hand at a time.
  2. Each dealer deals one hand. If a player busts out, the dealer presses Bust Out first. Then the dealer presses Hand Finished.
  3. When every table is finished, press Next Hand. If a table cannot press Hand Finished, press Next Hand Anyway.
  4. When the bubble bursts, the panel says that everyone left is in the money. When every table has finished the hand, press End Hand-for-Hand and Restart the Clock. The last hand also counts its minutes, and the clock starts again.

Each hand takes a fixed number of minutes from the level, so the blinds still go up on time. You set the minutes before you start.

When the time of a level runs out, the next hand is played at the next level. Before a break, the clock waits at 0:00 until hand-for-hand ends.

Players who bust out on the same hand of hand-for-hand are tied. They share the best of their places, and they split the prizes and the points of the places that they cover equally. Outside hand-for-hand, only a shared win gives a shared place.

If a bust-out brings the field to the final table size during hand-for-hand, the final table waits for the hand. It forms when the last table presses Hand Finished. If a table cannot press it, press End Hand-for-Hand and Form the Final Table. Then hand-for-hand ends, the last hand takes its minutes, and the clock stays paused until you start it again.

Form the Final Table

When the field is down to the size of the final table, the players draw new seats at Table 1.

When the field drops to the final table size of the event, and late entry is closed, the clock pauses. Then the players who are still in draw seats at Table 1. Every screen shows the draw until the clock starts again. Until then, a director or the Floor can undo the draw, with a reason. If late entry closes when the field is already that small, press Form the Final Table on the Overview tab or the Seating tab.

During hand-for-hand, the draw waits until every table has finished the hand. Then the draw ends hand-for-hand.

When all the players sit at the final table, press Resume on the Overview tab.

Take the Winner’s Photo

When the event ends, PokerSjef offers to take a photo of the winner.

  • When the last bust-out ends the event, the screen that recorded it offers to take the winner’s photo. The offer shows to the Floor, a director or the owner. Ask the winner first.
  • The photo shows on the room clock beside the winner’s name, and on the winner’s card at the top of the Results tab. A press on the winner’s name on the Events page also opens the card. Share sends the card from a phone or a computer. Copy copies it, so you can paste it. Save puts the picture in your downloads.
  • The winner can add their own photo from their phone, from the card the events list shows them, and remove a photo of themselves. The Floor and directors replace or remove it at any time.
  • Without a photo the card shows the winner’s profile picture, or their initials. The card never shows prize money.
  • After a shared win, the card and the room clock name every player who shares the win. Without a photo the card shows the profile picture or the initials of each of them. Any of them can add a photo.

The Event’s Tabs

An event has five tabs for the Floor and the directors, and three for dealers and players.

Open an event from the Events page. Five tabs run it, each with an icon:

Overview
The clock and its controls, the event at a glance, every table on one line, hand-for-hand and the event’s status. The directors also set this event’s room clock here. For the Floor and the directors.
Registration
The desk, where the players enter the event: signups, check-in, walk-ins and the waiting list. For the Floor and the directors.
Seating
A player who decides on a rebuy comes first. The tables come next, with balancing, moves and the games of the tables. The players who are out come last. The row at the top opens the page of each table. For the Floor and the directors. A dealer and a player have the My Table tab, their own table, and the Tables tab, every table to read. Player View, at the top of All Tables, shows the tables as a player sees them.
Structure
The levels and the breaks. Everybody sees them.
Results
The winner’s card when the event is over, then the results: the figures, the finishing order and the prizes to pay. Then Finalize the Result. The directors also find the payouts here, under Payouts at the top.

By the event’s name, Room Clock opens the room clock. On a phone, it is the television icon.

The directors also see Manage at the end of the bar. On a phone, it is a gear. It opens Edit the Event and Audit Log.

Run Sit & Go for the Day

A director opens Sit & Go for the day. The Floor opens the tables and helps the players.

  1. Open Sit & Go. The tools of the Floor are on the Play tab, above the lists. A player does not see them.
  2. A director or the owner presses Open Sit & Go. The pill of Sit & Go Today then shows open, in green. The usual lists of the club show, empty.
  3. Type a table number, and open the table. A full list takes the next free table.
  4. To put a player on a list, press Edit Players under the list. Search for the player, and press Add.
  • If an event of the club uses that table number, PokerSjef asks first.
  • If the club uses a code, the code shows large on the Play tab and in a corner of the club’s room clocks. A new code comes each day.
  • Edit Players finds every player of the club, also a player without an account. A player without an account gets no sound, so tell them.
  • In Edit Players you can also take a player off the list. You can start a list that is not full when its players agree.
  • On the Running tab, you can move a Sit & Go to another free table, or end it. Each player who is still in then gets the average of the places that are left. A player who pressed I’m Out before the end is out first, and does not share them.
  • On the page of the table, you have the controls of the host. On the Overview tab of the Sit & Go, you can change the time and the level, as for an event.
  • On the Results tab of a Sit & Go, you can add it to a league of the club, or remove it from a league. You can also do this after the Sit & Go ends.
  • If you close a table that a Sit & Go uses, the table closes when that Sit & Go ends.
  • Sit & Go closes by itself 4 hours after the last Sit & Go started. A Sit & Go that runs then continues to its end. When Sit & Go closes, its tables close when no Sit & Go needs them. PokerSjef removes a full list that has no table one hour after the close, and tells its players.
  • The Audit Log tab, to the right of Settings, shows what accounts did in Sit & Go: the lists, the tables, the night and the settings. Only the owner and the directors see it.

When Something Goes Wrong on the Day

Most problems on the day have a short fix. Nothing is lost when the connection stops.

The internet stops
Every screen keeps the clock running and says that the clock is estimated. Wait for Live before you press a button. Use the second connection.
A press seems to do nothing
Wait a moment. On a slow connection, PokerSjef sends the press again, and it does the action one time only.
The desk approved the wrong player
Press Find a Player at the top of the page. Press the player’s name. Then press Undo Approval. This works before a rebuy or an add-on.
The desk recorded money wrongly
A director reverses the money record in the event’s audit log, with a reason. The record keeps the first entry.
A player cannot sign in
Approve the player under Registered Players, or add them under Add a Club Player. Use Add a Walk-In only for a new player who cannot make an account. The player plays and shows in the results.
A player busted out by mistake
Press Unbust for that player on the Seating tab.
You do not know who did an action
A director opens Audit Log under Manage, at the top of the event. It shows each action and the account that did it.
